01 · Ordering

Ordering & Minimum Quantities

For bulk export, our standard minimum order quantity is 18 metric tons (MT) per product line. Smaller orders may be accepted at our discretion and are paid 100% in advance.

Yes. Many buyers combine products, for example cocoa powder and cocoa butter, in a single order. Tell us the products and volumes and we will quote the shipment as a whole.

Yes. Selected products are available in retail packs from 1 kg upward, alongside bulk packaging in sacks, cartons, blocks or drums.

Each quotation states its own validity period. Before an order is confirmed, prices may be adjusted if raw material costs, freight rates or exchange rates change materially, and any change is confirmed to you in writing.

An order is confirmed when we issue a written Order Confirmation, or when we begin processing after receiving the required advance payment. A quotation or proforma invoice on its own is not a binding contract.

02 · Payment

Payment & Pricing

For orders at or above the minimum quantity, our standard terms are 80% in advance and 20% against presentation of the shipping documents. Original shipping documents are released once the balance has been received in full.

Orders below the minimum quantity are paid 100% in advance, in cleared funds, before processing begins.

Prices are quoted in United States Dollars (USD) unless agreed otherwise in writing.

By telegraphic (wire) transfer to the bank account stated on our invoice. Bank and transfer charges are for the buyer’s account, so the full invoiced amount should reach us.

The buyer is responsible for import duties, taxes and charges in the destination country. We cover export duties and standard export permits in the country of origin.

03 · Shipping

Shipping & Export Documents

We ship worldwide on FOB (Free On Board) or CIF (Cost, Insurance and Freight) terms, under Incoterms® 2020. Your quotation states the Incoterm, port and price before you commit.

Order processing begins within 7 calendar days of receiving your advance payment. Export clearance takes up to 4 working days, and sea transit to major destinations is typically 32 to 38 days, depending on the carrier and route. These are estimates rather than guaranteed dates.

Commercial invoice, packing list, certificate of origin, phytosanitary certificate, certificate of analysis, fumigation certificate where applicable, and the bill of lading. Other certificates can be arranged where agreed in your contract.

Scanned copies are emailed within 48 hours of the vessel’s departure. Originals are sent by courier within 7 calendar days of shipment, once the balance payment has been received.

The buyer arranges import licences, customs clearance at the destination port and onward delivery, normally through a licensed clearing agent.

Under both FOB and CIF terms, risk passes to the buyer once the goods are loaded on board the vessel at the port of shipment. On CIF orders we arrange minimum cargo insurance for the voyage.

04 · Quality

Quality, Samples & Inspection

Yes. Samples of up to 250 g per product are free of charge for quality evaluation before you order. Larger samples are invoiced, together with freight and any duties, and paid before dispatch.

Products are supplied to the specification agreed in your quotation or data sheet, assessed against recognised international cocoa trade standards. Standard tolerances include moisture of no more than 7.5% for cocoa beans and 5% for cocoa powder, and foreign matter of no more than 0.5%.

Yes. We carry out a quality inspection before shipment, and each consignment ships with a certificate of analysis covering moisture and the other agreed parameters.

Yes. You may appoint an independent inspector, such as SGS, Bureau Veritas or Intertek, at your own cost to attend at the port of loading, coordinated with us in advance.

Notify us in writing within 3 business days of arrival, with an independent survey or laboratory report. Where a material difference is confirmed, we will replace the goods, issue a credit or refund the affected portion.

Yes. Share your requirements, such as fat content, pH, moisture, colour or particle size, and we will confirm what we can meet before quoting.

Yes. We can pack products under your own brand on request, using the artwork and branding you supply.

Products are packed to export standards for each product type, for example multiwall kraft paper bags, jute sacks or bulk bags with food-grade liners, or as specified in your contract.

For shipments to the European Union, we can provide the traceability and due diligence information we have available on request, to support your compliance with the EU deforestation regulation (EUDR).
